This position is responsible for assisting the PM s by performing administrative tasks that relate to the projects the PM s are managing. The projects can be fast-paced and dynamic. Independent judgment and initiative is required to understand project requirements and provide appropriate administrative support via research, data collection/tracking, analysis, and general organizational activities.


Job Responsibilities:

Working with multiple PM s by:

  • Attending project kick-off meetings with the project team

    • Act as scribe to capture important milestones in the project along with important steps or specific project requirements.

  • Monitoring parts, for multiple projects in process concurrently.

    • Report parts that put the project at risk.

    • Partner Procurement to keep ship dates on track.

    • Produce system generated reports and meet with Project Managers regularly

  • Supporting the Safety person and Technical writer.

    • Maintain tracking reports for the projects in process that require Safety testing

    • Conduct weekly meetings with this small team to make sure they are tracking to meet the PM s schedule

    • Work with PM to determine Safety and Technical writing needs.

  • Provide administrative support which may include:

  • Preparing and tracking the Quality Sign-Off Process (QSO)

  • Work with integration team and PM, coordinating their needs and helping the PM to resolve issues.

  • Assist with all other departmental tasks as requested or needed.

  • Maintaining the schedule with the team

  • Coordinating shipments including ensuring all business system requirements are fulfilled

Knowledge, Skills, and Abilities:

  • Above average ability to prioritize workload; coordinate and prioritize a variety of assignments with varying deadlines

  • Advanced knowledge of Microsoft Word, Excel, Access, Microsoft Project

  • Knowledge of Oracle, Access & custom pricing tools (CAD Data and various other server spreadsheets)

  • Troubleshooting skills

  • Resourcefulness, attention to detail

  • Ability to gather, analyze and manipulate data

  • Work effectively under pressure with frequent interruptions

  • Establish and maintain good working relationships with broad segments of the organization.

  • Ability to quickly adapt and use new information.
  • Must be a US Citizen
  • Willing to take a background and drug test.
  • Bachelors Degree preferred
